When a repair or service estimate changes, the customer should not have to compare several nearly identical messages to identify the current proposal. A clear revision makes the change and requested decision visible.

Label the updated version and explain what changed in scope, timing or price. Keep the earlier version in the job history. Ask for the required response through the established approval process, and record it where the team performing the work can find it.

Review the handoff between the person discussing the change and the person completing the job. If they work from different versions, the problem is operational as well as communicative. A concise revision note can prevent avoidable work and disagreement. The owner should be able to trace the current scope without searching through an employee’s personal messages or reconstructing a conversation after the fact.
