Keep Support Contacts Available Outside the Failed System

When a business service stops working, the support instructions are sometimes stored inside the account that staff cannot access. A basic contact plan should remain available when the main system is unavailable.

When a business service stops working, the support instructions are sometimes stored inside the account that staff cannot access. A basic contact plan should remain available when the main system is unavailable.

Record the provider’s verified support route, the business account reference and the person authorized to speak for the company. Do not include passwords or authentication codes in a broadly shared document. Identify a second responsible contact for times when the owner is unavailable.

Recheck the instructions after a provider change and during routine maintenance. Staff should know how to describe the affected service, the time the problem began and what they have already tried. That gives support a useful starting point without encouraging repeated experiments on a production system. A small amount of preparation can make an interruption easier to manage and reduce conflicting instructions while customers are waiting.
