Use AI to organize feedback and draft responses while keeping customer experience, corrections and escalation under human control.
Start with the service record
A negative review may identify a real service problem, a misunderstanding or an allegation that requires investigation. Connect the feedback to an authorized internal case where possible, without publishing account details. Record the issue, evidence, owner and next action. AI can classify incoming comments and suggest a draft, but it should not invent an explanation or conclude that a reviewer is dishonest.
Separate public replies from private resolution
A public response should acknowledge the issue and explain an appropriate next step. Move sensitive transaction details into the business’s approved support channel. Do not paste private customer records into a public reply or an unapproved AI tool. A human should review any statement involving a refund, disputed facts, employee conduct or a legal issue before it is published.
Ask for authentic feedback consistently
Invite feedback from customers based on an ordinary, consistent process rather than their predicted rating. Do not write customer reviews with AI, invent testimonials, buy favorable sentiment or pressure people to remove criticism. Avoid routing only satisfied customers toward public review platforms. The FTC’s consumer-review guidance explains rules affecting fake reviews, incentives and suppression; review the actual practice with qualified advisers and the platform’s current policy.
Correct facts with evidence
If a public statement contains a factual error, prepare a concise correction supported by records that can appropriately be shared. Distinguish an opinion from a verifiable assertion. Use the platform’s reporting process for content that appears to violate its rules, preserving evidence without promising removal. A correction should address the specific point and avoid exposing personal information, threatening the reviewer or launching repetitive arguments.
Measure resolution rather than star manipulation
Track response time, recurring issues, completed remedies and cases reopened after an apparently successful resolution. For a business operating in Florida, New York or New Jersey, assign location-specific service owners so a reply reaches the team that can help. A useful monthly review identifies a process change, such as clearer pickup instructions, and checks whether the underlying complaint becomes less frequent.
Give the case owner a deadline and a way to flag a reply that needs specialist review before publication.
