Supply structured facts
Provide the approved invoice reference, outstanding amount, due date and authorized payment route through the business’s approved workflow. Do not ask the model to infer a balance from a long email thread. Exclude unnecessary personal information and prevent the draft from inventing a late fee, discount or deadline.
Check for events after the invoice
Before sending, check whether a payment, credit, dispute or promised arrangement has changed the account. A correct invoice can still produce an incorrect reminder if the surrounding record is stale. Decide which system owns each update and how close to sending the final status check occurs.
Separate tone from authority
Staff may ask AI to make a reminder shorter or easier to understand. Changes to contractual terms, settlement offers or escalation language require the appropriate human decision. A rewrite should preserve the approved facts and not create a new commitment because it sounds more persuasive.
Use a reviewable example
For an illustrative draft, show the reviewer the source fields beside the proposed message. The reviewer should be able to check the recipient, reference, amount, date and payment link without opening several unrelated applications. If the record is disputed or incomplete, route it to the account owner rather than generating a more forceful reminder.
Measure resolution quality
Track incorrect reminders, customer replies needing correction and invoices resolved after contact. Do not equate the number of messages sent with money collected. Keep copies according to the business’s record policy and retain a clear owner for the communication. The related guide on human ownership of AI-written messages explains the broader accountability principle.
