Start with examples from the business. A public product description differs from a customer complaint containing contact details. An internal draft differs from a document containing account credentials. Identify approved tools, permitted information and the person who can answer an uncertain case. Check the provider’s current data settings rather than assuming every service handles inputs the same way.
My view remains positive: AI can give a small team more time and better ways to work. Clear information boundaries support that benefit. Test the policy with a real staff question and revise anything that requires guesswork. The useful result is a team that knows how to proceed, where to seek help and why some material requires a different process.
