Give Every Payment Exception a Clear Resolution Record

A payment exception is not finished simply because the customer stopped asking about it. The business needs a record of what happened, what the provider confirmed and whether another action remains.

A payment exception is not finished simply because the customer stopped asking about it. The business needs a record of what happened, what the provider confirmed and whether another action remains.

Link the case to the original transaction reference and keep the support response in the approved system. Distinguish an explanation from a completed correction. If the provider says an adjustment is pending, record the expected next check and the person responsible for it.

Before closing the case, verify the relevant transaction or deposit record rather than relying on a staff recollection. Do not repeat a charge or refund merely to make an unresolved screen look complete. A useful resolution note makes the outcome understandable to the next employee and supports later reconciliation. Review repeated exceptions together; the pattern may reveal a training issue, an unclear customer message or a configuration question that deserves the provider’s attention.
