Parts can be physically present and still be unavailable in practice if nobody knows which job they belong to. Unlabeled deliveries and loose items at a repair counter create avoidable searches and increase the chance of a mistaken handoff.

At receipt, connect the part to the job reference and record whether the quantity and condition match the order. Keep customer information in the job record rather than exposed on a public shelf. Separate parts awaiting inspection from parts ready for installation.

When work is postponed or canceled, assign a decision about the reserved stock. Otherwise, an item can remain attached to a dormant job while another customer waits for the same part. Review that exception list alongside the next week’s workload. The system can begin with a clearly marked shelf and a consistent record; complexity is not the objective. The owner should be able to answer three questions quickly: what arrived, which job needs it and what is preventing that job from moving forward.
